3) Admissions Office Databases-Monarch and Unisys

  1. Double-click on Monarch Report Explorer to search for Applicants (pink arrow).
  2. Double-click on 1_Unisys to search for Prospects (red arrow).

 

    a) Monarch (applicants)
        1. Go to File:Open
        2. Select ped on 'tweety' (G:)
        3. Then the Monarch folder
        4. Then the Daily folder OR WEEKLY, then the latest week, i.e. WE 2004-05-13
        5. Then NAME ORDER APP REPORT.PRF OR ATHLETIC REPORT (advantage is only athletes and sorted by gender).
           
a. If you need to find a HS Code for Unisys, then you would select High Schools by Zip.

 


   
     6. Click in the left hand area with the names and begin typing the last name of the Prospect.  Monarch will automatically jump to the name.
        7. Go to Window:V-Split to divide the Monarch window into two panes so that you can see the name and the status of the Applicant.
   
         a. AP=Applied, AC=Accepted, FN=Finaled, CR=Cancelled, C=Cancelled on Own, R=Rejected by College

 

 

 

 

 

 

 

 

 

 

  1. In the pink circle is the Applicants ID#.
  2. In the red circles are the sport codes (must code in Unisys or with Carol Terhark).
  3. Under the red arrows are “W” for Faculty Scholarship Winner, “99” for class rank, “30” for the ACT score, and “3.980” for GPA.

 

 

 

 

 

 

 

 

 

 

  1. To find a HS Code click on the binoculars in the red circle.
  2. Enter the HS name and click on Find Next until the correct high school is located.
  3. Note the six digit code next to the high school name and enter it in the HS Code field on Screen 4 in Unisys.

 

    b) Unisys (all prospects)
        1. Logon Usercode PED03, Password 4COACH2U, then hit the F1 key.
        2. Use the tab key to move through the screen and put an “X” between the << >> before ADM035, then hit the F1 key.
 

        3. Put a 1 between the << >> in the TRANCODE field and hit the F1 key to look up the names of prospects.

   

Name Lookup
  1. Use the tab key to advance to the Last Name field and enter the prospects last name.  Also, enter the first letter(s) of the first name, depending on how common the last name is.  Then hit the F1 key.  Hint:  You may enter only part of the last name if you suspect a misspelling.
 

 

 

 

 

 

 

 

 

  1. Now, use the tab key to advance to the “Act” field and enter the letter S, then in the “Scr” field enter 3, then hit the F1 key.

 

 Unisys Screen 3 – Name, Address, and Application Status Screen

  1. In the red circle verify the graduation year, i.e. 20059 = entering college 2005 during month 9 (September).
  2. In the pink box make sure the address is correct.  If it is not, then use the tab key to get to the appropriate field and change the address by typing over the information.  Please do not use periods and follow the abbreviations codes.
  3. In the green box, verify the phone number and make changes if necessary.
  4. In the yellow box, verify the email address and make changes if necessary.
  5. In the red box you will be able to see the prospects Applicant ID#, and the Applied, Accepted and Finaled dates.
  6. If you added or changed information on Screen 3, then hit the Home key (upper right), change the TRANCODE to c3 (c=change), then hit the F1 key.  This will save the new information in the Admissions Database.  Note:  If the prospect is an applicant, then an error will appear in the lower left corner of the screen (pink oval in bottom picture).  You will not be able to change any fields.  Contact Carol Terhark to make changes/code the prospect.
  7. In the orange circles, once you have saved the changes OR if you did not make any changes, then change the TRANCODE field to s3 (c=change) and the Scr field to 4, then hit the F1 key.  This will take you to Screen 4.
 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Unisys Screen 4 – Majors, Interests, Athletics, Parent Alumni, and High School

  1. In the red circle, verify that the Sex field is filled out.
  2. In the yellow oval, if the HS Code does not list the High School, then return to Monarch and look up the HS Code and enter.
  3. In the red rectangle, if a number appears after Father and/or Mother it means that the prospects parent(s) are alumni of Concordia College.
  4. In the green rectangle number codes and abbreviations will appear for the majors the prospect is interested in.  You can decipher the codes using the Admissions Code Sheet.
  5. In the pink rectangle is/are the sport(s) that the prospect is interested in.  If the field is blank, you should add your sport code, found on the Admissions Code Sheet.  Note:  Coding the athlete correctly here will eliminate you having to code them in Monarch if they become an applicant at a later date.  Also, you can use the sports codes to request labels (Judy Coughlin).
  6. If you added or changed information on Screen 4, then hit the Home key (upper right), change the TRANCODE to c4 (c=change), then hit the F1 key.  This will save the new information in the Admissions Database.
  7. In the orange circles, once you have saved the changes OR if you did not make any changes, then change the TRANCODE field to s4 (c=change) and the Scr field to 5, then hit the F1 key.  This will take you to Screen 5.

 

Unisys Screen 5 – Contact Code (The Source That Identified the Prospect) and Making the Prospect Active

  1. Note in the red circle if an N or a Y appears in the Active field.  You want the field to have a Y which indicates the prospect is being actively pursued by Concordia College.  Note:  Do not change an N to a Y in this field.
  2. To make sure the prospect is changed to Active Status if they currently are an N, tab to the appropriate field (red oval) and enter the 95 code under the Type and the current date.
  3. If you added or changed information on Screen 5, then hit the Home key (upper right), change the TRANCODE to c5 (c=change), then hit the F1 key.  This will save the new information in the Admissions Database.
  4. In the orange circles, once you have saved the changes OR if you did not make any changes, then change the TRANCODE field to s5 (c=change) and the Scr field to 6, then hit the F1 key.  This will take you to Screen 6.

 

Unisys Screen 6 – Mailings, Campus Visit

  1. You are not likely to add anything to Screen 6, unless you are mailing materials to the prospect instead of Admissions.  Note:  You should always check this screen before mailing Admissions materials, as we do not want to duplicate mailings (looks like we don’t know what we are doing) and we want to save on postage.
  2. In the orange circles, change the TRANCODE field to s6 (c=change) and the Scr field to 7, then hit the F1 key.  This will take you to Screen 7.

 

Unisys Screen 7 – Class Rank and Test Scores

  1. The prime purpose of Screen 7 is to help you determine who your Faculty Scholarship candidates will be.  In the red circles you will see the prospects class rank and ACT composite score.  These are prospects you should encourage and remind to APPLY BY THE DEADLINE.  Note:  You should NEVER change any information on Screen 7.
  2. In the orange circles, to look up another name, change the TRANCODE field to 1 (use the space key to delete the number), then hit the F1 key.  This will take you back to the Name Lookup Screen.

 

Quitting Unisys

  1. Click on the F10 key twice to exit or click on the X in the top right hand corner.

3) Email

  1. Group Email

Emailing Recruits

  1. Go to ped on ‘tweety’ (G:)

  2. Double click on the Active Athletic Prospects folder
  3. Locate the Actives01.txt file.
  4. Open Microsoft Excel from the Start Menu: Programs: Microsoft Office.
  5. Go to File: Open
  6. On the toolbar, hit the folder with the up arrow  in it until you can see the G: drive.
  7. Double click the Active Athletics Prospects folder.
  8. Then, go to Files of Type and select All files (*.*)

  1. Open the Actives01.txt file.

  2. A dialog box will open
  3. Select Delimited, then click Next>.

  4. Click the box for Comma and hit Next>, then Finish.

  5. Select the whole table by clicking on the empty box between the A and the 1 in the top left hand corner.
  1. Then select Data:Sort on the menu.
  2. In Sort by select Athletic1, in Then by select Email.
  3. This will sort all the active prospects by sport.  Copy and paste all the athletes with emails from your sport into a new Excel file.  Repeat steps 14-16 for Athletic2 and Athletic3, copying and pasting the rest of the prospects from your sport into your new Excel file.

  1. Next, click and drag over all the email addresses for your sport, and copy them, ctrl-C.
  2. Open an email using Microsoft Outlook.
  3. Paste the email addresses into the Bcc line, then add a note about your team.  Add a digital picture if you have one.  Note:  The email will go to everyone on the list, but it will not look like an email to all the recruits, only to them individually.


4) Instant Messenger

    a) Sign up for MSN or Hotmail account and .Net Password - Hotmail

1. Go to Contacts:Add a Contact
